Solutions: System
Intro
Many mobile charge capture products have no online functionality: the doctor manually enters patient and visit information, synchronizes it to a computer, prints it, and hands it to a biller, who then re-enters all of the information into a billing system. It's actually more cumbersome and error-prone than slips of paper stuffed into a white coat pocket! We think this approach defeats the purpose of charge capture: to reduce data entry and simplify the billing process.
To that end, all data entered into pMDsoft - by doctors, by billers and office staff, and imported from external systems - is stored securely on our servers and made available to everyone at a practice who needs to see it. Providers can use their mobile devices to receive updates and enter charges while they're on the go, and everyone can use our secure Web site to manage the practice and complete the billing workflow.
Our Web site, interfaces, and servers are the backbone that supports the entire pMDsoft system. They are what set us apart from our competitors, who don't realize that how information flows into, through, and out of a practice can be its greatest asset or its most severe hindrance. With pMDsoft, that information is always accessible wherever it's needed, and it gets where it needs to go at the speed of thought. That means your days of data entry headaches, delayed billing, lost revenue and missing information are at an end.
The Backbone of pMDsoft
Like a human spine, the backbone that supports the entire pMDsoft ecosystem - mobile devices, Web users, and interfaces with external systems - is hidden beneath the surface. The true power of pMDsoft's charge capture solution, the reason why it just works, is our hardware and software infrastructure that operates ceaselessly day and night at our centralized server facility and data warehouse. The archiving, optimization, and automation that happens here is the foundation of our exceptionally elegant workflow.
Simplifying the billing process is hard, which is why solutions that achieve it are rare, but our infrastructure is up to the task. We strive to create the perfect system because we've seen how much easier that difference in workflow can make our customers' lives. Our "invisible giant" is how we keep our mobile software lightweight and instantly responsive; how we support constant, near-instantaneous wireless synchronization from our BlackBerry and iPhone customers; how our Web site is available and lightning-fast whenever you or your staff need it; and how our HL7 interfaces transfer data to other systems so quickly, reliably, and securely.
Manage Your Practice
Capturing charges is just the beginning: if you have a billing system or service, pMDsoft is all you need to keep your practice running smoothly. pMDsoft's Web site allows you to capture the complex demographics necessary for patient billing; track patient appointments and create call schedules; and run reports to help you identify ways to increase your revenue.
pMDsoft supports the extra patient information that helps claims processing run smoothly: full address, referral authorization number, multiple levels of insurance, and the patient's relationship to the insurance policyholder. Once this information is entered or imported into our system, it remains available and is re-used whenever the patient is seen.
It's easy to track which providers are available and who's on call using our interactive call schedule. Everyone can access the centralized schedule for the entire practice via the Web, and each doctor's schedule is also integrated with their BlackBerry's calendar so they can stay up-to-date as the schedule changes. You can even print the schedule or distribute it as a PDF to share it with other groups where you round!
Our Web-based reports give you a deeper look at the up-to-the-second billing data of your practice. For example, you can break down the procedures performed within a time period by provider; or review the visits you billed to verify that your billing service has reimbursed you fully. This is also a great way for providers to follow the visits that they entered as they move through the billing workflow.
The Billing Workflow
A smooth billing process is all about communication and organization. Entering charges into pMDsoft is only the beginning - our workflow ensures that the visits are accurate, compliant, and billable before they are submitted for final processing. Patients aren't lost as soon as they leave the office, because a quick glance at the calendar reveals appointments that lack charges and makes it easy to schedule a follow-up.
The workflow begins when the patient is entered into the system. Patients and appointments can be created automatically when they are scheduled in external practice management systems, or office staff can input the data when they schedule an appointment. Using pMDsoft for scheduling, directly or indirectly, has the added benefit that the provider can easily review pMDsoft appointments and even create visits directly from the calendar. Our world-class security ensures that the HIPAA-sensitive information in these appointments remains private. After the appointment, you can browse the calendar to see appointments that lack charges, or run a summary report, allowing you to discover the holes in your billing process.
Before a visit is finalized, it is subject to automated edits and biller review. This guarantees the highest quality of reporting, and can result in increased revenue thanks to more accurate coding and bonus programs such as the Physician Quality Reporting Initiative. If a visit is returned to a provider for revision, it rejoins the provider's queue of visits awaiting approval; the biller can enter an explanatory note, improving communicating and hastening the final billing of the charge.
Stay Informed as you Round
pMDsoft was designed with mobile physicians in mind, and it was built to be versatile from the ground up. For that reason, its rounding functionality can benefit nearly any group: cardiology, pulmonology and gastroenterology specialists don't miss valuable hospital visits; hospitalists and intensivists can share patients and information more effectively; and geographically dispersed practices such as nursing home doctors can easily distribute a thousand-patient census and manage where each doctor rounds. The powerful backbone of our system gives you more power and flexibility than a system that was built to address only one of these scenarios.
pMDsoft uses the providers' assigned locations to automate the management of complex rounding groups, ensuring that patients are always present on the mobile devices of the doctors who need to see them. This allows doctors in the same rounding group to share a patient census, which they can slice and dice depending on what they're doing. For example, they can view only the patients who are at a hospital they're visiting, or only the patients who have been seen by a colleague for whom they're covering. Sorting the census by room provides a "to do" list for making rounds, and patients who have not been seen have a red date so they're easy to find.
When another doctor assumes care of a patient, the critical information is already present on that doctor's mobile device, simplifying hand-off and improving the continuity of care. The patient's complete Visit History is available on the BlackBerry and iPhone, and the note can hold whatever information is needed. Depending on the practice, that may be medications, a problem list, or a brief encounter history. The iPhone shows a preview of the clinical note as part of the census, and on the BlackBerry, a flick of the trackwheel reveals it, ensuring that essential tidbits such as "do not resuscitate" are literally at the fingertips of every provider who sees the patient. This dramatically reduces the need for physician-to-physician communication between rotations.
pMDsoft can help ensure that the providers have the information they need and that the patient is always seen. Even if your group rounds in shifts. Even if you round at dozens of geographically distant locations. Even if providers are out sick, or on vacation. Our Web-based census acts as your practice's command console, providing a way to assign patients to doctors and doctors to locations dynamically as the situation changes; and giving you the confidence that your doctors' BlackBerries will pick up those changes automatically, so everyone stays informed.
Total Integration; or, The Physician Who Doesn't Have to Enter Data
pMDsoft plays well with others, transforming you into the impossible: the physician who doesn't have to enter data. Picture this: the patients and appointments entered into your practice management and EMR suite or a hospital information system flow automatically to your BlackBerry or iPhone. You check who needs to be seen and make your rounds, entering the charges as you go - while the visit is still fresh in your mind. Those charges are sent in realtime to our Web site for review, and after you and your staff have approved them from any computer, they - along with the patients' insurance information - are transmitted to your billing system or service. What's missing here? You never had to enter the patients' demographic information, and your billing staff never had to enter the charges - those extra data entry steps could have led to costly mistakes.
All this is possible because of pMDsoft's dedication to interfacing with practice management, billing, and EMR systems using the industry standard HL7 protocol. You don't have to replace your existing software and services - instead, you can reap the benefits of charge capture alongside the power of the software infrastructure that you've already developed. Charge capture is the core of our business, not an afterthought, so we've become experts at interoperating with other medical software packages - and we've yet to encounter a system that we can't work with. Our HL7 engine is powerful, flexible, fast and secure - it typically sends and receives charges within a few seconds.
But where our competitors often charge thousands of dollars in hidden costs to link their charge capture suites with external systems, we have never charged for an HL7 implementation. With enough physicians using pMDsoft, we're happy to create that interface with no up-front costs or extra ongoing fees.
Keep Your Data Safe
You can count on pMDsoft because we've designed our systems to the model set by the financial and manufacturing industries - data that can't be lost or stolen because it's important and private, and systems that can't go down because they're mission-critical. Because of this approach, our database architecture met HIPAA's requirements years before HIPAA existed. Whether you're connecting using a Web browser or a mobile device, the data transfer is protected by industry-standard SSL encryption, the same level of protection that your bank's Web site uses.
Our servers live in an ultra-secure facility run by Savvis, the company that powers Wall Street. You know your data is safe because these facilities use world-class, redundant network infrastructure to guarantee 99.99% uptime. Think of it this way: Google's servers neighbor ours, and they picked Savvis for a reason. When was the last time Google's site went down?
It may not seem important where and how your data is stored, but ask yourself what would happen to your practice if your office succumbed to a fire or flood. Would you still know how to contact your patients? Would you still be able to bill them? pMDsoft creates secure backups of customer data in two different regions of the country, so even the most severe disaster would leave your information intact. And if your mobile device is lost or stolen, you can re-download pMDsoft over the air, re-sync your data wirelessly from our servers, and you're up and running again.
To put it another way, we worry so you don't have to. Our philosophy that software should be easy to use and hassle-free translates directly into the way we've built our systems - and that, in turn, translates into peace of mind and superior quality of service for our customers.
